Position: Medical Admin Assistant
Reporting to: Senior Quality Standars/Drug Safety Manage
Working Location: Beijing
JOB SUMMARY
The Administrative Assistant provides administrative support to the Senior Manager of Quality Standards/Drug Safety and the team of Quality Standards/Drug Safety in medical department. The Assistant is responsible for ensuring efficient and effective administrative operations within the team. In addition to administrative duties, the Assistant may also be assigned to coordinate special projects or tasks and will contribute to the achievement of QS/DS team or Medical Objectives.
 
KEY RESULT AREAS & JOB ACTIVITIES /TASKS
1Learning activity setup and maintenance
-  Assist QS team in learning activity management in Power-2-Learn, namely register learning event, monitor event registration, prepare sign-in roster and submit completed roster for P2L entry
-  Assist QS team in curriculum administration in P2L
-  Assist QS team in generating training analysis reports and to track training compliance of functional lines
2Safety training tracking and SUSAR mailbox
-  Assist Drug Safety Officer in collecting & filing training certificate from colleagues in relevant functions
-  Assist Drug Safety Officer in checking SUSAR mailbox for timely distribution
3Administrative
-  Provide support in administrative duties including calendar management, scheduling group meetings, team activities and project execution
-  Assist with creation, maintenance and dissemination of presentations, reports and documents. Responsible for work related documentation management as appropriate
-  Development, maintenance and dissemination of team-wide documents as needed
-  Interact with team personnel in support of the daily operation and on special project as needed
-  Assist team to obtain visa and other travel documentssuch as travel application and expense reports
-  Complete purchase requisition forms, coordinate vendor payment and assist in payment tracking
-  Support Sr. QS/DS Manager on team expense tracking and budgeting
-  Complete other task assigned by Sr. QS/DS Manager
 
BACKGROUND REQUIREMENTS
1, Educational /Training
-  EducationalBachelors Degree preferred

-  Conscientious, good team player
-  Must be independent, pro-active, self-motivated with strong organizational, interpersonal and communication skills
-  Excellent follow-up skills
-  Excellent verbal and written communication skills for interaction with manager and colleagues
-  Proficient in both verbal and written Chinese and English
-  Demonstrated proficiency with all software including Outlook, Word, Excel, and PowerPoint as well as internet applications with ability to learn new applications
